Microsoft 365 Governance: Seven Decisions to Make Before Another Team Appears
A plain-language governance framework for ownership, naming, sharing, lifecycle, guest access, data, and support in Microsoft 365.
Collaboration tools grow at the speed of work. Governance should help people move confidently, not make every useful action require a committee.
Govern decisions, not every click
Start with seven decisions: who may create a workspace, how it is named, who owns it, how external guests are approved, what information belongs there, when access is reviewed, and what happens when the work ends.
The answers may vary by department or information type. The important part is that users can understand the rule and administrators can support it consistently.
Make ownership durable
A team, site, or shared resource should have accountable owners who understand membership, guest access, business purpose, and lifecycle. Define what happens when an owner leaves or changes roles. Use periodic review for high-value or externally shared spaces.
- Minimum number of accountable owners
- Guest review and expiration where appropriate
- Naming that helps people find the right space
- Retention and deletion aligned to approved requirements
Support the behavior you want
People create workarounds when the approved path is unclear or slow. Pair policy with templates, short role-based guidance, and a place to ask questions. Review usage patterns and support requests to see where the design creates friction.
